The ZeniaHR self-onboarding link, or its QR code on the reception desk, opens a form in English, Hindi or Gujarati where the new trainer enters personal, family, bank, education and experience details and uploads certificates before joining. HR reviews each submission and approves it or sends it back, and an approved joiner becomes an employee record.

Safety induction before the floor
Day one should cover the emergency plan: where the AED and first aid kit are, who calls the ambulance, what to do when a member faints on a treadmill, and how to record an incident. Then equipment: daily checks on cables, pins and benches, how to tag a broken machine out of use, and cleaning rules between members. Only after that come member etiquette, the PT sales process and the booking software.
Shadowing and the first month
Pair the new trainer with a senior for a week of shifts, including at least one opening and one closing. In week two they run inductions for new members while being observed, and by the end of the month they should take PT clients alone. Keep a short checklist that the club manager signs off, and save it to the trainer's documents so probation reviews start from evidence.
Appointment letter and probation
Every trainer must get an appointment letter under the OSH Code, and it should state the shift pattern, weekly off rule, fixed pay, how PT payouts and incentives work, notice period and probation. For part-time or fixed-term instructors, state the term clearly, and remember that a fixed-term worker holds full employee status. As the probation end date nears, ZeniaHR reminds HR and the club manager, collects the manager's 1 to 5 rating and comment, and lets HR confirm or extend.

What documents does a gym trainer need to join?

Pool staff add a lifeguard certificate. Some gyms also ask for police verification for trainers who work one to one.
