Attendance management for coaching institutes

In a coaching institute, attendance is really lecture punctuality. A faculty member who reaches the classroom ten minutes late costs a whole batch those minutes, and a missed lecture has to be rescheduled. Staff hours follow batch timings, not office hours: early morning, evening and weekend batches, often at more than one branch. Good attendance ties each person to their batch shift, records punches at every branch they visit, and makes the lecture register and the punch record tell the same story.

Batch shifts instead of a 9 to 6 day

Build shifts around the batches each person teaches or supports. A faculty member with a 7 am to 10 am dropper batch and a 5 pm to 8 pm school batch works a split shift with a long afternoon gap. Front office staff can cover two overlapping shifts, so the desk is staffed from the first batch to the last. Weekend batch faculty may teach only on Saturday and Sunday. Judging all of them against one office timing produces false late marks every single day.

Punches at every branch

Senior faculty often teach at the main branch in the morning and a satellite branch in the evening. Put a QR kiosk at the entrance of each branch, tied to that branch's location, so faculty punch in and out at each one from their phone. Travel time between branches then shows as a gap between two punches, not as missing hours. Branch managers see who has reached their branch before a batch starts, and the head office sees every branch together.

Late marks, missed lectures and the lecture register

Late marks for faculty should use a short grace, such as five minutes after the batch start, because students are already seated. Two late marks in a month call for a conversation with the academic head, and a pattern belongs in the faculty member's review. A missed lecture is different from a late one: it must be rescheduled, and the batch coordinator records it in the lecture register. Compare the register with punches at month end. A lecture claimed on a day with no punch at that branch needs an explanation before payroll.

Sunday tests and month close

Many institutes hold weekly tests on Sunday mornings, with faculty and checkers on duty and their weekly offs moved to weekdays. Make Sunday a working day in those people's shift pattern, or every test day will look like extra work and every weekday off like an absence. At month end, the batch coordinator clears corrections and closes the lecture register, HR finalizes attendance by the 2nd, and payroll takes paid days and lecture counts from the same closed month.
