Faculty pay models
Three models are common. A fixed monthly salary for a contracted lecture load, such as 90 lectures a month, with extra lectures paid at an agreed rate. A pure per-lecture or per-batch rate for part-time or visiting faculty. And for senior faculty, a fixed salary with a session-end bonus linked to staying through the exam. Whatever the model, write the load, the rate and the way missed or rescheduled lectures are counted into the agreement, because most coaching payroll disputes start there.
- Fixed salary for a contracted lecture load
- Extra lectures beyond the load at an agreed rate
- Per-lecture or per-batch pay for part-time faculty
- Session-end retention bonus for senior faculty
Worked example: fixed pay plus extra lectures
Rohit teaches chemistry on a fixed monthly salary of ₹90,000 for a load of 90 lectures, with extra lectures at ₹1,000 each. In November he takes 102 lectures, so 12 are extra and add 12 x ₹1,000 = ₹12,000, making his gross for the month ₹1,02,000. The batch coordinator certifies the count by the 1st, the academic head approves it, and HR enters the ₹12,000 as a separate earning. Had he taken only 85 lectures, the agreement should already say whether the shortfall is carried forward, adjusted or deducted.
Counsellor incentives and statutory items
Counsellors usually earn a fixed salary plus an incentive per admission or on fee collected, often in slabs, worked out after early refunds are settled. Pay it in the month after the admission is confirmed, as a separate earning, so the payslip shows it clearly. For every employee, keep basic pay and DA at half or more of total pay, since the wage definition adds excess allowances back for PF and gratuity. Deduct PF, ESI where applicable and professional tax, and recover salary advances in agreed instalments.
Month-end steps
The last three days of the month decide whether payroll is on time. Batch coordinators certify lecture counts, branch managers send incentive sheets and overtime approvals, accounts confirms advance recoveries, and HR closes attendance by the 2nd. The draft run goes to the director or finance head by the 4th and is finalized by the 5th. Salaries go out by the 7th, because monthly wages must be paid by the 7th of the following month, even in the thin weeks before a new session's fees arrive.
How to set it up in ZeniaHR
- Build each employee's salary structure in Direct Payroll from monthly gross, split into Basic, DA, HRA and Special, with Basic plus DA at least half of gross.
- Add monthly payroll inputs: incentive for extra lectures and counsellor admissions, overtime, and advance recovery for salary advances.
- Use a bonus run for session-end retention bonuses, so they are paid and reported apart from the monthly salary.
- Choose the loss of pay basis in the deduction policy, such as a fixed 30 days, with branch overrides where branches follow different rules.
- Run payroll from the finalized attendance month, review the draft and finalize it to seal it; each employee gets a payslip PDF showing PF, ESI and professional tax.
- Create a payment batch, approve it and mark it paid by the 7th of the following month.

How do coaching institutes pay per-lecture faculty?
Count lectures from the batch register each month, have the batch coordinator certify and the academic head approve the count, and pay it at the agreed rate. Faculty on the rolls receive it through payroll as a separate earning, with PF and other statutory items applied as for any employee. The agreement should say how missed and rescheduled lectures are counted.
How are admission counsellors' incentives paid?
Usually as a separate earning in the month after admissions are confirmed, once early refunds are settled, calculated per admission or on fee collected under slabs written into the incentive policy. Showing it as its own payslip line lets each counsellor check the amount against their admission list.
Should coaching institutes pay a retention bonus to faculty?
Many institutes do for senior faculty, paying it at the end of the session if the faculty member taught through to the exam, which discourages mid-session exits. Write the conditions and amount into the agreement, pay it in a separate bonus run, and keep it distinct from the statutory bonus, which follows its own rules.
