Overtime management for coaching institutes

Overtime in a coaching institute comes from two seasons and one weekly routine. Admission season after board results keeps counsellors and front desk staff late for walk-ins and callbacks, crash courses stretch branch hours before JEE and NEET, and test staff work long Sundays. Faculty extra lectures are usually paid under their agreement rather than as overtime. A clean policy keeps the two apart, approves overtime before the season, counts it from punches and pays it at no less than the legal rate.

Overtime seasons in a coaching institute

From the day board results are declared until the main batches fill, counsellors and front desk executives handle walk-ins until 9 pm, run school seminars on weekends and return calls late into the evening. During crash courses the branch stays open longer and support staff close later. Test days need checkers and results staff who stay until marks are uploaded. Each of these is predictable, so the branch manager can estimate hours and seek approval a week ahead.

Extra lectures are not overtime

A faculty member who takes 12 extra lectures in a month because a colleague left is usually paid per extra lecture as agreed, not overtime by the hour. Keep that in the faculty agreement and in payroll inputs certified by the academic head. Overtime at the legal rate matters most for staff whose hours are the measure of their work: desk executives, salaried counsellors, checkers, housekeeping and security. Worked example: a counsellor in admission season

Neha, an admission counsellor, has a gross salary of ₹24,000, and the institute works out day rates on 30 days, so her day rate is ₹800 and her hourly rate ₹100. In May she works 2 hours beyond her shift on 10 days and 4 hours at a Sunday seminar on her weekly off, 24 hours in all. At twice the hourly rate, that is 24 x ₹100 x 2 = ₹4,800 of overtime. Her admission incentive for the month is separate and goes on its own payroll line.

Comp-off, caps and approvals

Some staff prefer time off to overtime pay, especially after admission season. Offer comp-off at 4 hours for half a day and 8 hours for a full day, usable in the quieter weeks after new batches start. Cap each person's overtime hours per month, so a branch that runs its desk on overtime all season has to hire temporary help instead. Approvals go to the branch manager first and then HR, and approved overtime appears in that month's payroll.

How to set it up in ZeniaHR

  1. Set the Overtime policy to count time beyond full-day hours, from a minimum of 30 minutes, rounded down to 15-minute steps, with approval required.
  2. Set the multipliers for working days, weekly offs and holidays at 2 or above, so Sunday seminars and holiday duty are paid at least at the legal rate.
  3. Set payout as the employee's choice, so desk and counselling staff can take pay or comp-off, with 4 hours for half a day and 8 for a full day.
  4. Set a monthly overtime cap per person, and look closely at branches that reach it during admission season.
