Typical shifts in a coaching branch
A JEE and NEET branch might run dropper batches from 7 am to 1 pm, school-going batches from 4 pm to 8 pm on weekdays, and weekend batches from 9 am to 5 pm. Faculty who teach one morning and one evening batch work a split shift. The front desk and counsellors cover two overlapping shifts, so enquiries are handled until the last batch leaves. The branch manager works a general day but stays on call for the late batch.
- Dropper batch faculty: 7 am to 1 pm
- Split faculty shift: 7 am to 10 am and 4 pm to 8 pm
- Front desk: 8 am to 4 pm and 1 pm to 9 pm
- Test team: Sunday 7 am to 2 pm
Weekday offs and Sunday test cover
If Sunday is test day, faculty and test staff take their weekly off on a weekday, and it should not be the same day for everyone in a subject. Split the physics faculty between Monday and Tuesday offs, the chemistry faculty between Wednesday and Thursday, and so on, so every subject has someone free for doubt sessions each day. Front desk staff rotate their offs so the desk is never short. A personal weekly off for each person is easier to run than one branch-wide rule.
Resetting schedules when batches change
Batches change at the start of each session, again when crash courses begin, and whenever a batch is split or merged after a test. Each change moves faculty from one timing to another. Assign the new shifts in bulk from the date the new timetable starts, rather than editing each person's days. When two faculty agree to exchange a batch for a day, the academic head and HR should approve the swap before the roster changes, so attendance and the lecture register stay in line.
Crash course weeks
Crash courses before JEE Main and NEET add batches and lengthen days for several weeks. Plan them as separate crash course shifts for those weeks, and keep faculty hours within the daily limit, paying anything beyond it as overtime or as extra lectures under the faculty agreement. Faculty stretched across regular and crash batches for weeks lose quality in the last lecture of the day, so the academic head should cap lectures per day and share the load across the subject team.
How to set it up in ZeniaHR
- In Shifts & Roster, create shifts that match your batches: morning, evening and weekend faculty shifts, a split shift, two front desk shifts and a Sunday test shift.
- Give each faculty member and desk executive a personal weekly off on a weekday, staggered so every subject and the desk are covered each day.
- Assign the new session's shifts in bulk from the day the new timetable starts, up to 92 days at a time.
- Use rotation templates for front desk staff, staggered per person, so early and late shifts are shared fairly.
- Turn on Shift Swaps so faculty can exchange a batch for a day: the colleague accepts, the academic head and HR approve, and only then does the roster change.
- Check each branch's day grid before crash courses begin, and assign crash course shifts for the weeks they run.

What are the working hours of coaching faculty?
They follow the batches rather than office hours. A faculty member might teach a 7 am to 10 am batch and a 5 pm to 8 pm batch, working a split shift with a long break in between, while weekend faculty teach only on Saturday and Sunday. The agreement should state the batches, the lecture load and the weekly off.
How do coaching institutes manage weekly offs when Sunday is test day?
Give faculty and test staff a personal weekly off on a weekday and stagger it within each subject, so doubt sessions run every day. Sunday then counts as a normal working day for them. Staff who have no role on test days can keep Sunday as their weekly off.
Can coaching faculty swap batches with each other?
Yes, with approval. The faculty member asks a colleague, the colleague accepts, and the academic head and HR approve before the roster changes. This keeps attendance and the lecture register aligned, so the right person is paid for the lecture and no batch is left without a teacher.
