Appointment orders and joining documents
Issue the appointment order with the post, scale, probation period and the board resolution that approved it; every employee must receive an appointment letter under the OSH Code. Collect identity and address proof, PAN, bank details, the PF UAN if any, educational certificates, and a medical fitness certificate for plant and food-handling staff. Cashiers and staff who handle cash or stock often have to furnish security under the service rules, such as a fidelity guarantee, a surety bond or a deposit. Keep it on file with its validity.

Induction on bye-laws, service rules and the work
Start with the society itself: its bye-laws, the role of the board and the general body, the service rules on conduct, leave and discipline, and the rule that staff must not favour relatives or directors in loans or procurement. Then train on the work. Branch staff learn cash handling, counterfeit note checks, KYC documents for members, loan documentation and the society's software. Dairy plant staff learn milk testing, hygiene, cleaning procedures and plant safety. Cover the POSH policy and the Internal Committee for everyone.
Probation under the service rules
Service rules usually set probation at six months to two years, with confirmation by the CEO or the board. Review the new employee before the end date on accuracy of work, any cash differences, conduct with members and attendance. Extension or non-confirmation should follow the rules' procedure and be recorded with reasons. Confirmation orders go on the employee's file, since the auditor may check that confirmed staff were confirmed properly.
