A gym's staff files should prove that every trainer on the floor is certified and CPR-ready today, not when they joined. Good practice keeps a short checklist per role, records an expiry date on every certificate, verifies originals, and gives the club manager access to certificates without exposing salary or bank details.

Checklist by role

Configure this list in the onboarding document checklist, so each new trainer uploads the right certificates before joining, and existing staff can see anything missing from their own file on the mobile app without waiting for HR to ask them.

Verify certifications

Fitness certificates are easy to fake with a template. Check each one with the issuing body's online verification where it exists, note the date, and mark it verified or rejected in ZeniaHR. Ask for the original at joining and hand it back the same day. A trainer whose certificate cannot be verified should not take clients until it is sorted out.

Expiry dates and reminders

Enter the expiry date every time a certificate or CPR card is uploaded. Trainers see pending items in their required-document checklist in My Self-Service, so they know a new CPR card is due before HR has to chase them. Go through the document reports monthly, and roster any trainer with a lapsed CPR card away from solo floor duty until the renewal is uploaded.

Privacy for trainers and members

Trainer files include ID numbers and bank details, and pool staff files may hold medical records. Give club managers a role scoped to their own studio, with salary, bank and contact fields masked. Documents open through links that expire after a short time, which keeps certificates off personal phones and staff WhatsApp groups.
