A gym is busiest when everyone else is not at work: roughly 6 am to 10 am and 6 pm to 10 pm. Trainers, front desk staff and housekeeping cover a 16-hour day in two teams or split duties, personal trainers earn much of their pay from sessions and packages, group instructors may teach a handful of classes a week, and membership sales run on monthly targets. Two peaks and an empty afternoon

Members train before work and after work. Staffing both peaks without paying for an empty afternoon means two teams or split shifts, and either way the roster has to respect the working hour and spread-over limits in your state's rules.

Variable pay that can exceed the base

In a good month a personal trainer's session payouts can be larger than the fixed salary. Sessions, package sales, membership incentives and per-class fees all come from the gym's member software and have to reach payroll correctly every month.

Certifications and CPR cards

Trainers hold fitness certifications and CPR or first aid cards that expire. When a member gets hurt, a lapsed certification weakens the gym's position badly, so HR needs expiry dates on file and reminders before they run out.

January rush and seasonal dips

New Year resolutions bring a wave of new members in January, and many gyms see another push before summer and before weddings. Leave, hiring and incentives need planning around those weeks, and around quieter months when attendance drops.

Trainers who leave with clients
