Where hospital staff should punch
Many hospitals put a biometric device at the staff entrance and, on large campuses, a second one near the OT complex or the ICU block. Devices that push punches over ADMS send them straight into ZeniaHR, so nobody downloads files from the machine at month end, and duplicate punches within 60 seconds are dropped. Nurses in ICU and isolation areas often cannot carry phones inside, so the entrance device suits them. Ambulance drivers, home care nurses and staff posted at a satellite clinic can punch from the mobile app, where the punch carries GPS location and can be limited to a check-in spot.
Clinic branches with two or three staff rarely need a machine. Handover time decides who is late
Nursing handover usually happens at the nursing station 10 to 15 minutes before the shift changes. A nurse rostered 7 am to 3 pm who punches at 7:05 has missed handover, even though she is inside most grace periods. Grace in and out can be set per shift in the shift catalogue, so ward shifts can carry a five-minute grace while the accounts team on the general shift carries fifteen. The attendance rules then count late marks, allow a few free ones each month, and deduct half a day for every set number beyond that.

Missed punch-outs after emergencies
A code blue at 2:55 pm keeps both the outgoing and the incoming nurse at the bedside, and nobody thinks about the biometric machine. The next morning, the day shows no punch-out. ZeniaHR sends a missed punch-out alert 60 minutes after the shift ends, so the nurse can raise a correction the same day. The attendance rules decide what happens if she does not: the day can be treated as a half day, as absent, or counted up to the shift end. For clinical staff, counting hours to shift end avoids punishing people for an emergency.
Corrections go first to the ward sister and then to HR. The approved correction updates the day while the original punches stay on record, which matters when an auditor asks why a timesheet changed. Set a monthly limit on corrections and a limit on how many days back they can be raised, so the month can close on time.
Worked example: late marks for one staff nurse
Jincy is a staff nurse on rotating shifts in a Pune hospital, with a monthly gross of ₹30,000. The hospital's rules allow 3 free late marks a month, and every 2 late marks after that deduct half a day. In June she is late 7 times. The first 3 are free, and the remaining 4 make two groups of 2, so she loses two half days, or one day's pay. On a calendar-day basis in a 30-day month, a day is worth ₹1,000. The ward sister confirms that one of those late arrivals followed a night admission rush, so HR waives one half-day penalty with a reason, and the deduction drops to ₹500.
Closing the month before payroll
Close attendance by the 2nd or 3rd of the next month, so payroll can finish before the 7th. Before closing, the nursing office checks the day log ward by ward for open punches, pending corrections and unapproved overtime. Month close finalizes attendance and freezes it for payroll; if a mistake surfaces later, HR can reopen the month with a reason. Payable days then flow into Direct Payroll, and night shifts that crossed midnight are filed against the day the duty started, so a night nurse's duty appears once, on the date it began.

How do hospitals track attendance for night shift nurses?
They roster the night shift, for example 11 pm to 7 am, and flag it as a night shift so the punch-out after midnight is filed to the day the duty began. Nurses punch at the staff entrance device or a ward kiosk, and lateness is judged against the rostered start. Night duty counts for allowances then come from the roster and attendance reports.
What grace period should a hospital give nurses?
