Notice periods by role
Hospitals usually set shorter notice during probation and longer after confirmation, for example 15 days and one month for nurses, and one to three months for RMOs, unit heads and senior technicians. Nurses leaving for overseas jobs often ask for early release, so decide in the policy whether notice can be bought out and how. Separately, when the hospital retrenches a worker with at least one year of continuous service, the law requires one month's written notice with reasons or wages in lieu, and compensation of 15 days' average pay per completed year; see the notice and termination rules.
Handover and clearance in a hospital
In ZeniaHR, recording the resignation sets the last working day and moves the employee to on notice, which also tells the ward sister to plan cover. Offboarding then uses 20 structured exit reasons and an 8-item exit checklist, so HR can see at a glance which clearance steps are still open for each leaver.
- Patient handover and pending documentation signed off by the ward sister
- Narcotic register and emergency trolley checks if the nurse held keys
- Ward inventory, locker and uniform returned
- ID card, access card and radiation badge returned
- Hostel room vacated with the warden's sign-off
- Loans, advances and library books cleared with accounts
Full and final settlement on time
When an employee leaves for any reason, wages are due within two working days. For a nurse leaving on the 20th, that means paid days up to the 20th, leave encashment where the policy allows, overtime and night allowances approved to date, less recoveries within the permitted deductions. Run it as an off-cycle payroll in Direct Payroll, where paid days are bounded by the exit date. Follow the full and final settlement process for the paperwork.
Worked example: gratuity for a long-serving nurse
Gratuity is due after five years of continuous service, at 15 days' wages for each completed year on the last drawn wages. Mary leaves after exactly 6 years, with last drawn basic plus DA of ₹20,800. Using a 26-day month, one day's wage is ₹800, so 15 days' wages are ₹12,000, and 6 years give ₹72,000. Check the figure with the gratuity calculator and pay it with the settlement.
Verification letters and rehiring
Nurses who move abroad trigger verification requests from overseas licensing bodies and their agencies, often months after they leave. Keep designation, department and dates consistent in the employee record, so the experience letter and the verification reply match. Record whether the person is eligible for rehire; nurses returning from abroad are often strong rehires, and their earlier record is still in the previous employees list.
How to set it up in ZeniaHR
- Set notice days for probation and after confirmation in the Work terms policy, with per-grade overrides for RMOs and senior staff.
- Record each resignation in Employees so the last working day is set and the person moves to on notice.
- Plan roster cover for the notice period in Shifts & Roster before the last month begins.
- For every leaver, clear the 8-item exit checklist and tag the right one of the 20 exit reasons.
- Run an off-cycle payroll for the final settlement and pay within two working days of the last day.
- Review exit reasons by department each quarter to see why nurses and RMOs leave.

What is the notice period for nurses in private hospitals?
It is set in the appointment letter. Many hospitals use 15 days during probation and one month after confirmation for nurses, with longer notice for ward sisters and nursing supervisors. The policy should also say whether notice can be bought out and how early release works for nurses going abroad.
When should a hospital pay full and final settlement?
Within two working days of the last day, whatever the reason for leaving. To meet that, the hospital should know the exit date in advance, close the leaver's attendance quickly and run the settlement as an off-cycle payroll instead of waiting for the next monthly run.
Is gratuity paid to nurses who leave after five years?
Yes. Once a nurse completes five years of continuous service, she is owed 15 days' wages for every completed year, worked out on her last drawn wages. With exactly 6 years and last drawn basic plus DA of ₹20,800, that comes to ₹72,000 on a 26-day month. Fixed-term nurses receive it pro rata, with no five-year minimum.
