Leave management for jewellery showrooms

A jeweller's calendar has fixed rush days and fixed quiet spells, and leave should follow them. Akshaya Tritiya, the week from Dhanteras to Diwali, Pushya Nakshatra days and wedding season weekends need every counter staffed. Pitru Paksha and the Kharmas weeks are quieter in many regions, because fewer families buy then. A sound policy freezes leave on rush days, steers earned leave into the quiet spells, and pays back festival duty as comp-off.

Rush days are fixed a year ahead

The muhurat calendar is published long before the year begins, so there is no reason for surprises. Mark Akshaya Tritiya, Dhanteras, Diwali, the Pushya Nakshatra days, and Gudi Padwa or Ugadi as your region follows, plus the wedding season weekends, as leave freeze dates in the policy. Announce them on the Company Wall to every showroom as an announcement staff must acknowledge, and let showroom managers decline casual and earned leave on those dates except in an emergency.

Use the quiet spells for leave

In many regions, customers avoid buying jewellery during Pitru Paksha in September or October and hold back on wedding purchases during Kharmas. Those weeks are the right time for sales staff to take earned leave, and for karigars to take their long trips home. The legal floor still applies: once a worker completes 180 working days within a calendar year, a paid leave day is earned for each 20 days worked, and carry forward stops at 30 days, so leave that is never planned into these windows simply piles up.

Counter cover and leave approval

Each counter needs a trained person who can take over its trays. Before approving, the showroom manager opens the leave calendar in My Team and confirms that the diamond counter will not lose both its executives on the same day. Put a notice rule on earned leave, for example 15 days, so cover can be arranged, and a maximum spell that one counter can absorb. The executive sees the days charged and the balance left in the leave form's live preview before submitting, which avoids surprises on both sides.

Comp-off for festival duty

Staff who give up a weekly off in the Dhanteras week, or work a holiday on Akshaya Tritiya, should get the day back. HR grants the comp-off for the worked weekly off or holiday, and the credit carries an expiry. A 90-day expiry lets comp-offs earned around Dhanteras and Diwali be taken during the Kharmas lull in December and January. A sales executive who worked both days sees two credits in the app, each with its expiry date, and applies for them like any other leave.

How to set it up in ZeniaHR

  1. Use the Leave Ledger's default quotas for CL, EL and SL, or edit them, with pro rata credit for joiners.
  2. On earned leave, set the notice days and a maximum spell, so counter cover can always be planned.
  3. Give comp-off credits a 90-day life on the comp-off type, and grant them once each festival is over.
  4. Post muhurat dates and wedding season weekends as leave freeze dates on the Company Wall, with acknowledgement required.
  5. Have showroom managers check the leave calendar before approving, with HR giving final approval.

Frequently asked questions

Can jewellery showrooms stop leave on Akshaya Tritiya and Dhanteras?

Yes, if the policy says so in advance. Name these days in the leave policy as dates on which leave is not usually granted, announce them well ahead and apply the rule evenly across showrooms. Emergencies still deserve case-by-case handling. Read your standing orders and state rules, and let staff take their leave in the quieter weeks instead.

When is the slow season for jewellery shops?

It varies by region, but many showrooms see fewer buyers during Pitru Paksha, when many families avoid new purchases, and during Kharmas, when weddings are not held in many communities. Those weeks suit planned leave, training and stock audits.

How is comp-off given to jewellery staff for festival days?

Staff who work a weekly off or a holiday during the festival rush earn a comp-off credit, which HR grants after the festival. Each credit has an expiry date, so it is used in the quiet weeks that follow. Employees see their credits in self-service and apply for them like any other leave.
