Punch before the opening count
A showroom that opens to customers at 10:30 am needs its staff inside by 10 am: the stock controller issues trays, counters are set and the opening count is signed. Make 10 am the shift start for sales staff, so arriving at 10:20 am is a late mark rather than an on-time arrival that held up the count. Keep the grace tight on this shift, for example 5 minutes, and pick late rules that match, such as two free late marks a month, after which each pair of late marks costs half a day. Opening late is not a customer problem here; it is a security problem.
A no-phone floor and a kiosk at the staff door
Many showrooms keep phones off the sales floor, so the punch belongs at the staff entrance, ahead of the lockers. A tablet kiosk there shows a code that changes twice a minute; staff scan it with the mobile app on arrival and then lock the phone away, and do the same on the way out. A biometric device pushing punches over ADMS is the alternative. Tie the kiosk to a check-in spot at the showroom with the location check on, so a punch cannot be made from the street, and turn on phone binding so each person uses one approved phone.
Breaks that match tray handovers
When a sales executive goes for lunch, their counter's trays are handed to a colleague or locked away. The break punches should tell the same story. Staff mark break start and break end on the app, and the paid break allowance in the attendance rules decides how much break time is paid. Attendance Analytics shows over-break days, and the day log, which can be downloaded as CSV, keeps each day's punches. Download it every month and file it, because a stock inquiry can arrive long after the day in question.
Karigars in the workshop
Karigars in an in-house workshop keep their own hours, often 9:30 am to 6:30 pm, and should punch at the workshop, not at the showroom door. Give the workshop its own department and shift, and a separate kiosk or biometric device if it sits in another building. Even for karigars paid by the piece, attendance matters: it records presence for leave, holidays and overtime on rush orders, and it shows who was in the workshop on the day gold was issued or returned.
How to set it up in ZeniaHR
- Create each showroom as a branch and location, with separate departments for sales, stock, cash, security and the workshop.
- In Shifts & Roster, add the showroom shifts, the workshop shift and the extended festival shifts, with a tight grace on the opening shift.
- Place a kiosk at the staff entrance, tie it to the showroom's check-in spot with the location check on, and switch on phone binding.
- Under Policies in Settings, set the paid break allowance, late steps, free late marks and the missing punch-out rule, then dry run them on last month.
- Ask the showroom manager to clear corrections every week, and finalize the month with month close before payroll.

Why does attendance matter for stock security in a jewellery showroom?
Because stock responsibility follows people. When trays are issued to named staff, the attendance record shows who was present at opening, who took breaks and when, and who stayed for the closing count. If a count does not match, that record is where any inquiry starts, so punches and breaks must be accurate.
How can jewellery staff punch in if phones are not allowed on the floor?
Place the kiosk or biometric device at the staff door, on the near side of the lockers. Staff scan the kiosk code with the mobile app on arrival, then lock their phones away, and repeat the routine when they leave. A biometric device at the entrance is the other option. Either way, the punch happens where phones are still allowed.
What time should jewellery showroom staff report?
Early enough to finish the opening stock count before customers arrive, usually about 30 minutes before opening. If the showroom opens at 10:30 am, a 10 am shift start with a short grace works. Make the report time the shift start in your system, so late marks are counted from it.
