Worked example: how many can be on leave together
Take a Pune cluster of 12 installation technicians. Each closes about 5 tickets a day, so the cluster can handle 60. On a normal weekday about 50 tickets arrive. The spare capacity is 10 tickets, which is two technicians. So the rule for this cluster is simple: no more than two people on planned leave on the same day, and when that limit is reached, the next request waits or moves. In a season when 58 tickets arrive daily, the spare room shrinks to less than one technician, and planned leave should pause.
The team leader applies this rule with the team leave calendar open, filtered to the cluster's department, where approved and pending leave show in different tints. Write the limit into the cluster's leave policy, and review it each quarter when ticket volumes or headcount change.
Seasons that set the leave rules
Each business has its own crunch. AC and appliance service companies are flooded with calls from April to June. Telecom and broadband teams face cable cuts, water in joint boxes and tower faults through the monsoon, June to September. Festive offers bring installation rushes in October. Announce the crunch months for your line of business in January, ask technicians to plan long leave outside them, and keep sick and emergency leave open all year.
Half days, sandwich rules and short notice
Technicians often need a few hours rather than a day: a child's school meeting, a bank visit, a document at the RTO. Allowing first-half and second-half leave keeps them working the other half instead of taking a full day. Casual leave can carry a notice rule of a day or two so the dispatcher can plan tickets. With Sunday as a working day for many clusters and weekly offs spread through the week, pick a sandwich mode deliberately and check it in the leave preview with a real case before announcing it.
Comp-off for Sunday drives and night windows
Installation drives on Sundays and network maintenance windows between midnight and 5 am are normal in this business. When a technician works a weekly off or a holiday, HR grants a comp-off credit, and the credit lapses after a set period so it is taken during a quieter month. Where your policy pays overtime for such work instead, write that down and apply it to every cluster alike.
