The driver file, document by document
Keep one checklist for drivers and a lighter one for workshop, control room and office staff. Drivers often carry papers folded in the cabin for years, so ask for clear photographs of the originals rather than old photocopies. Insist on both sides of the licence, because the back carries the vehicle classes and endorsements.

Renewals are the real work
A licence renewal needs a medical certificate and an RTO visit, and a driver on long-haul duty cannot fit that into one afternoon. Plan renewals at least two months ahead. On the first working day of each month, HR sorts the document reports by expiry, picks out every licence, badge and fitness certificate lapsing within 90 days, and sends each depot manager the names. The depot then gives the driver a day off duty for the RTO, instead of discovering the lapse during a client audit.
Each driver can open his own document list in the ZeniaHR app, where the required-document checklist shows anything still missing. A driver who renews his badge at an RTO in another state can send a photo of the new card to the depot from the highway, and HR adds and verifies it the same day.
Audit-ready files
HR verifies or rejects each document, so blurred licence photographs are caught at once and replaced. Record the expiry date on every licence, badge, fitness certificate and verification when you verify it. Depot managers should see only their own branch's files, bank and salary fields can be masked for anyone outside payroll, and files are downloaded through links that expire, which matters when an auditor asks for copies by email.

Which documents should a fleet operator keep for each driver?

Record the expiry date of everything that lapses.
How far in advance should driver licence renewals be planned?

Can a driver with an expired licence stay on duty?
He should not drive until the licence is renewed. Move him to yard, helper or workshop duties if you have them, or let him use leave for the renewal. Record the date the renewed licence was verified, and check again before putting him back on the duty chart.
