Employee documents in travel and tourism companies

In a travel company, an expired document can stop work on the spot. A tour manager whose passport expires in four months may be turned away for some destinations, an airport representative with a lapsed entry pass cannot reach the arrivals hall, and a driver-guide without a valid licence cannot drive. Good document control records every such document with its expiry date, checks them before each season, and keeps personal documents secure while still shareable with airlines, embassies and airport authorities when needed.

Documents by role

Beyond the standard identity, address, bank and joining papers, each travel role carries its own set of documents, many of which expire. List them per role, so HR knows exactly what to verify for every joiner and what to check again before each season.

Expiry checks before every season

Record the expiry date of every passport, visa, airport pass and licence when HR verifies it. Then, a month before each season, pull the document report of what expires in the next six months and act on it: passport renewals for tour managers booked on international departures, airport pass renewals for the airport desk, licence renewals for drivers. Plenty of countries want a passport valid for months beyond the travel dates, so treat six months of remaining validity as the working minimum for international tour managers.

Visas and third-party requests

Visa files and airport pass renewals often need copies of an employee's documents, and embassies and airport authorities have their own formats. Share documents through time-limited download links rather than email attachments, and keep a note of what was sent where. Visa executives handle guests' documents all day, and the same care should apply to colleagues' documents inside the company.

Access and privacy

Passport and visa copies are sensitive. Limit who can see them: operations managers need to know that a tour manager's passport is valid, but not their salary or bank details. Scope roles by department or branch, mask salary, bank and contact fields where they are not needed, and let employees see their own documents and pending requirements in self-service.

Frequently asked questions

What documents should travel companies keep for tour managers?

Passport with expiry date, visas held, first aid certificate, emergency contacts, the appointment letter with tour allowance and cash float terms, and for seasonal staff the fixed-term contract. Check passport validity before every season, especially for international departures.

How much passport validity should a tour manager have?

Treat six months of remaining validity beyond the travel dates as a safe working rule for international tours, since plenty of countries insist on months of validity left at entry. Check validity a month before each season and start renewals early.

Why do airport representatives need police verification?

Airport entry passes are usually issued only after background and police verification, with the employer as sponsor. Keep the verification and the pass, with its expiry date, in the employee's documents, and start renewals well before the pass lapses.

Who should see employees' passport copies?

Only the people who need them: HR, and operations or visa staff when a document must be sent for a booking or visa. Use role-based access and time-limited download links, and never circulate passport copies by email or in messaging groups.
