Files by role
Load the list into the onboarding document checklist by role, so a rider is never asked for a pharmacy registration and a pharmacist is never confirmed without one. Existing staff then see any gaps in their own required-document checklist on the app.
- Pharmacists: registration certificate and renewal receipt, D.Pharm or B.Pharm certificates, experience letters
- Store managers: qualifications and experience, plus registration if they also work as pharmacists
- Assistants: ID, address proof, education certificate, bank proof

Matching HR records with licensing records
The licensing team keeps a list of which pharmacist is linked to which store's licence. HR keeps each employee's location and registration certificate. Reconcile the two lists every month. When a pharmacist is transferred or resigns, the licensing team needs to know the same day so it can update the store's papers with the drug control office, and HR should record the move as a transfer or exit in the employee's lifecycle history.
Renewals and expiry
State pharmacy councils renew registrations on their own cycles, and riders' licences and vehicle insurance expire too. Enter expiry dates when uploading, let staff see pending items in the required-document checklist on My Self-Service, and go through the document reports monthly. A pharmacist whose renewal is in process should submit the renewal receipt, which HR uploads until the new certificate arrives.
Verification, access and storage
Verify each registration against the council's records and mark it verified or rejected. A store manager may need to show a pharmacist's registration during an inspection but has no reason to see salary or bank details, so mask those fields for the store manager role.
