Address proof letter for an employee

An address proof letter is a certificate from the employer confirming the residential address an employee has declared in company records. Employees who have moved to a new city for work, stay in company accommodation or rent without a registered agreement often need it for a bank account, a gas or broadband connection, school admission or police verification. The letter confirms employment and the recorded address, and makes clear that the company is stating its records, not guaranteeing the address.

When to use it: Issue it on the employee's written request, after the employee has updated the address in HR records with a supporting document such as a rent agreement, utility bill or company accommodation allotment. HR checks the record and an authorised signatory signs and stamps it. Ask the receiving institution first whether it accepts an employer letter.

What to include

Based on the record, with a document

Certify only the address in HR records that is backed by a document on file: rent agreement, utility bill or accommodation allotment. The letter should say what supports it.

Employment details first

The receiving institution is really relying on two facts: the person works for you, and the company has this address on record. State designation, joining date and employee ID clearly.

Company accommodation

When the company provides the accommodation, say so and state that it is for the period of employment. This is the strongest form of address confirmation an employer can give.

Limit the company's responsibility

Add a sentence that the letter reflects records on the date of issue and that the company is not responsible for later changes or the employee's transactions. It keeps the letter from being read as a guarantee.

Employee declaration

The employee's signed declaration, with a promise to report changes, puts responsibility for accuracy where it belongs and keeps HR records current.

Can an employer give address proof to an employee?

Yes. An employer can certify the residential address recorded in its files, together with the person's employment details. Whether a bank, gas agency or other authority accepts it depends on that institution's own rules, so the employee should check first and ask HR to address the letter to it.

What documents does HR need before issuing an address proof letter?

HR should have the updated address in the employee's record and a supporting document, such as a registered rent agreement, a recent utility bill, or the company's accommodation allotment. The employee also signs a declaration that the address is correct and that they will report any change.

Is an address proof letter from the company valid for bank KYC?

Banks follow their own KYC rules and accept a set list of documents. Some accept an employer's letter for certain categories of customers, and many do not. Ask the branch before applying. If it accepts the letter, address it to the branch manager with the employee's details as the bank requires.
