What to include
Say it is not a promotion
State that grade and pay are unchanged. An employee who reads a new title as a promotion will expect a raise, and colleagues may read it the same way unless the letter is clear.
Explain the reason
A short reason, such as a restructure or a role move, prevents the change from looking like a demotion. Employees are sensitive to titles because future employers judge them by it.
Role focus under the new title
List the main areas of work under the new designation. A title change with no change in work confuses people; a title change with new work needs the work written down.
Continuity of service
Confirm that service continues without a break. The experience letter at exit should show both designations with dates, which the employee will need for future jobs.
Common mistakes to avoid
- Using a designation change to lower someone's level without discussion or explanation.
- Changing titles on the org chart and email before issuing letters.
- Leaving out whether pay and grade change, so the employee assumes a promotion.
- Renaming titles for a whole team with one group email instead of individual letters.

Is a designation change the same as a promotion?
No. A promotion moves an employee to a higher level or grade, usually with more responsibility and pay. A designation change alters the title, and sometimes the focus of the role, while the level and pay stay the same. The letter should say which it is, to avoid confusion.
Can a company change an employee's designation without consent?
A company can rename titles or reassign roles within the same level for business reasons, but a change that lowers status, pay or responsibilities should be discussed and agreed in writing. For workers covered by standing orders, check those orders before changing service conditions.
How is a designation change shown in the experience letter?
The experience letter should list each designation with its dates, for example Customer Support Executive from June 2022 to March 2025 and Customer Success Associate from April 2025 to the last working day. This gives future employers a true record of the career path.
