What to include
New designation and grade
Write both. The grade often decides notice period, leave, travel entitlements and approval limits, so leaving it out creates questions about which grade rules now apply.
Responsibilities, not just a title
Listing the main new responsibilities, especially people management, makes the promotion real. It also sets the basis for the next review cycle's goals.
Reporting line and team
If the employee now reports to someone else or manages a team, say so. Update the reporting line on the same date so leave and attendance approvals move to the right person.
Pay revision in an annexure
State the revised CTC and attach the break-up. If the promotion carries no pay change yet, say when pay will be reviewed, so the employee is not left guessing.
Grade-linked terms
Mention any change that comes with the new grade, such as a longer notice period or a trial period in the role. These are the terms most often disputed later.
Common mistakes to avoid
- Announcing the promotion to the team before the employee receives the letter.
- Changing the title without updating reporting lines, so approvals still go to the old manager.
- Leaving out the grade, which leaves notice period and benefits unclear.
- Promising a pay revision later without a date or review point.
- Using a promotion letter for a lateral title change with no change in level.

What should a promotion letter include?
Include the new designation and grade, the effective date, the reason for the promotion, the new reporting line, the main new responsibilities, the revised CTC with an annexure, and any change in notice period or benefits linked to the grade. Close with a line for the employee to sign in acceptance.
Is a salary hike mandatory with a promotion?
No law requires it, but a promotion without a pay revision is rarely well received. If budgets do not allow an increase now, write when pay will be reviewed. Check that the new salary is not below the minimum or band your pay structure sets for the new grade.
Can a promotion have a trial period?
Yes, some companies confirm a promotion only after a trial period of a few months in the new role. If you use one, state its length, how performance will be judged and what happens if the trial is not successful, and confirm the promotion in writing when the trial ends.
Does the notice period change after promotion?
It can, if the company links notice periods to grades. Senior grades often carry longer notice periods. The promotion letter should state the new notice period and the date from which it applies, so there is no dispute if the employee resigns soon after the promotion.
