Early release request letter format

An early release request letter is written by an employee who has already resigned and wants to leave before the notice period ends, usually because a new employer needs them sooner. The company has no obligation to agree, so the letter has to make it easy to say yes: a specific release date, a handover that will be complete by then, and an offer to settle the shortfall through leave adjustment or notice pay, as the policy permits.

When to use it: Send it after your resignation has been submitted and acknowledged, as soon as you know the date you need. Address it to the reporting manager, who must agree that the handover can be finished, with a copy to HR, who applies the policy on shortfall. Ask for the decision in writing.

What to include

Reference the resignation

Quote the resignation date and the last working day under the notice period. The request only makes sense against those dates, and HR will check them first.

One specific date

Ask for a single release date and say how many days of notice it cuts. An open request to leave as early as possible is hard to approve.

A handover that ends before the date

List deliverables with dates that fall before the requested release. The manager's approval depends almost entirely on whether the work will be covered.

Offer ways to settle the shortfall

Offer leave adjustment or notice pay as the policy allows, and say you will accept the company's choice. It shows the request is not an attempt to skip obligations.

Leave room for a middle date

Asking for any earlier date if the full request is not possible gives the manager a way to help partly, instead of a flat refusal.

How do I request early release from my notice period?

Write to your reporting manager, copying HR, and quote your resignation date and current last working day. Can a company refuse early release?

Yes. The notice period is part of the employment terms, and the company can ask you to serve it in full, especially if the handover cannot be completed. Many companies agree when the handover is ready and the shortfall is settled, but the decision is theirs.

What is notice period buyout?

A buyout means paying the company wages for the days of notice you do not serve, so you can leave earlier. The amount is usually calculated on the salary basis stated in your appointment letter and is often recovered from the full and final settlement. Some new employers reimburse it.

Will early release affect my relieving letter?

Not if the release is approved in writing and exit formalities are complete. The relieving letter will show the approved last working day. Problems arise only when an employee leaves without approval, which can delay the relieving letter and the settlement.
