About the role
A Payroll Executive processes the monthly salary run for the employees assigned to them, often one location, entity or group of departments. The role collects and checks inputs, runs the payroll, deducts PF, ESI, professional tax and TDS, generates payslips, prepares statutory files and answers salary queries. It reports to the Payroll Manager. A good payroll executive has the draft run ready before the review date with every input reconciled, and can explain any payslip line to the employee who asks.
Key responsibilities
- Take attendance, leave, overtime, joiner and exit data once the attendance month is closed, and check it against approvals.
- Enter the month's approved earnings and deductions, such as incentives, arrears, reimbursements, advance recoveries and fines.
- Run the draft payroll, compare it with last month and investigate unusual movements in gross or net pay.
- Work out employee and employer PF, ESI, professional tax and labour welfare fund, and monthly TDS based on declared investments.
- Generate payslips and the bank advice after the Payroll Manager approves the run, and tally the bank file totals.
- Generate the PF ECR file, the ESI monthly contribution upload and state-wise PT challans ahead of the payment dates.
- Explain payslip lines to employees who raise queries, and correct genuine errors through an off-cycle run or the next month's adjustment.
- Work out final dues for leavers: salary for days worked, notice pay or recovery, leave encashment and gratuity if eligible.
- Gather tax-saving declarations at the start of the year and proofs in the last quarter, and support Form 16 preparation.
- Keep monthly working files and reconciliations so an auditor can trace every figure back to its source.
