Job title: School Administrator
Department: Education and Teaching
Reports to: Principal
Location: [City], [office, branch or site]
About the role
A School Administrator runs the non-academic side of a school so that teachers can teach. The role covers the admission office, fee collection, transport, housekeeping and security, purchases, staff records, licences and the campus itself. It reports to the Principal or School Director and leads office, transport and support staff. A good administrator keeps buses on time, the campus clean and safe, fees collected and every licence valid, without pulling the principal into daily problems.
Key responsibilities
- Run the admission office, from enquiries, forms and document checks to fee receipts and handover of new students to class teachers.
- Oversee fee schedules, receipts, reminders and concessions approved by the principal, and reconcile collections with accounts every week.
- Manage school transport with the transport in-charge, covering bus fitness and permits, driver verification and the bus GPS system.
- Supervise housekeeping staff, security guards, gardeners and maintenance workers through duty rosters and daily campus rounds.
- Keep campus licences current, including the fire NOC, building safety certificate, water test reports and canteen food licence.
- Buy stationery, uniforms, books and consumables against quotes and purchase orders, and maintain stock registers.
- Maintain staff files, joining documents, attendance and leave records, and send monthly inputs for payroll.
- Prepare the campus for exams, events, PTMs and inspections, arranging seating, sound, cleaning, parking and visitor passes.
- Update UDISE+ data and answer education department circulars together with the principal.
- Track annual maintenance contracts for lifts, generators, RO plants and CCTV, and schedule servicing on time.
Requirements
- Graduate in any stream; an MBA or diploma in administration is an advantage
- Experience in school or institutional administration
- Knowledge of school bus safety guidelines and fire safety requirements
- 7 to 10 years in administration, including at least 3 years in a school or college

What does a school administrator do?
A school administrator manages everything outside the classroom: admissions paperwork, fee collection, transport, housekeeping, security, purchases, maintenance, staff records and campus licences. The role keeps the school safe and running on time, so the principal and teachers can concentrate on teaching and students.
What is the difference between a school administrator and a principal?
The principal is the head of the school and leads teaching, students, staff and parents. The administrator reports to the principal or director and runs operations: office, fees, transport, facilities, vendors and compliance paperwork. Academic decisions stay with the principal, while operational decisions within budget sit with the administrator.
What qualifications are needed for a school administrator job?
Most schools ask for a graduate degree, and an MBA or diploma in administration helps. Employers look for several years of administration experience, ideally in a school or college, with working knowledge of fee systems, transport safety, facility contracts and licence renewals.
