Company announcements with acknowledgement tracking

Some notices must not just be posted but read: a change in shift timings, a new leave rule, a safety instruction or the names of the Internal Committee members. An announcement on the ZeniaHR wall can ask everyone in its audience to acknowledge it. The report then splits the audience into people who acknowledged, with the date, people who have not yet, and people without a login, who need to be told another way. The list downloads as CSV for follow-up.

How it works

  1. HR opens the composer on the wall, chooses Announcement and writes a title and the message.
  2. Under Who sees it, choose the whole company, some branches or some departments.
  3. Tick Ask people to acknowledge it, and everyone in the audience gets an Acknowledge button on the post.
  4. Publish now or schedule it; when it goes live, people in the audience get a bell.
  5. Open Who acknowledged to see three lists: acknowledged with the date, not yet, and no login.
  6. Search the lists or download a CSV with name, employee code, department, branch, status and date.

Why acknowledgement matters

A notice pinned on the canteen board proves only that it was pinned. When a dispute comes up later, about a changed shift start, a new attendance rule or a safety procedure, HR needs to show that each person saw it. Acknowledgement gives a dated record per person. It also suits notices people must know about, such as the members of the Internal Committee, which every workplace with 10 or more employees must constitute under the POSH Act.

Worked example: revised canteen timings at a Pune plant

HR at an auto components plant in Pune posts an announcement, Revised canteen timings from 1 November, to the Production department only, 240 people, and asks for acknowledgement. Three days later the report shows 198 acknowledged, 30 not yet and 12 with no login. HR downloads the CSV, sends the not-yet list to the shift supervisors with a reminder, and asks them to read the notice aloud at the start-of-shift meeting for the 12 without a login. A week later 226 have acknowledged, and the rest have been told in person.

Writing announcements people act on

Short, specific notices get acknowledged faster than long circulars, and they are easier to read on a phone during a tea break. Write for the person on the shop floor rather than for the file, and put the one thing they need to do right at the top.

Frequently asked questions

How can HR track who has read a company notice?

Ask for acknowledgement when you post it. The Who acknowledged report then lists everyone in the audience as acknowledged with the date, not yet, or no login, with a search box and a CSV download. It is available to HR, the Company Head and the person who posted the announcement.

What about employees who do not have a login?

They cannot acknowledge in ZeniaHR, so the report lists them separately under no login instead of mixing them with people who ignored the notice. Download the list and tell them another way, such as a supervisor reading the notice at the shift meeting, and keep a note of it.

Can managers post announcements on the company wall?

By default, yes: the setting allows HR, the Company Head and managers, meaning anyone with active direct reports. The company can narrow it to HR and the Company Head only, or open it to everyone. Managers can also choose branches or departments as the audience.

Does everyone get notified about a new announcement?

When an announcement goes live, a bell goes to up to 500 people in its audience. Everyone in the audience sees the post on the wall and, if acknowledgement is on, the post also appears on their self-service strip until they acknowledge it. Email and WhatsApp copies need notification rules and live sending.
