How it works
- Open the candidate and choose Schedule Interview Round.
- Pick Fixed Date and Time and enter the date and start time, or pick Candidate Self-Scheduling Link.
- For self-scheduling, set the available from and until dates, the days, the from and until times, the slot duration and an optional buffer.
- Choose the mode, Online, Offline (In-Person) or Phone, add the address or meeting details, the interviewer's name and the round type.
- The candidate receives a secure link by email, which HR can also copy and share, then picks a date and a free slot and confirms it.
- After the round, record the interviewer's notes and the decision: Select, Reject, or Hold for the next round.
What you can set

- Slot duration: 15, 30, 45 or 60 minutes.
- Buffer between slots: none, 5, 10, 15 or 30 minutes.

- Decision after the round: Select, Reject, or Hold for the next round.
- Reschedule or reopen a round when plans change.
Why self-scheduling saves days
Scheduling twelve interviews by phone means thirty calls: the candidate is in a meeting, then the interviewer is busy, then the time is lost. Candidates who already have jobs want to choose a slot around their shift. A self-scheduling window lets HR decide once when the interviewer is free, and lets each candidate pick a time without a call. Slots are worked out by the system and a booked slot is taken off the list, so two candidates never arrive for the same time.
Worked example: support engineers in Chennai
A Chennai IT services firm shortlists 12 candidates for a support engineer role. HR sets a self-scheduling window from Monday 5 to Friday 9 October 2026, weekdays only, 10 am to 1 pm, with 30-minute slots and a 10-minute buffer for notes, mode Online, round type Technical Round, and sends the links.
By Tuesday evening 11 candidates have booked. The twelfth, who works nights, picks the last Friday slot. Two candidates who clicked the same Wednesday slot within seconds of each other see it taken for the second one, who is asked to pick again. After each round HR records the notes and a decision, selecting 4 for the HR and Culture round.
Tips for smooth interview rounds
Keep self-scheduling windows short, three to five working days, so hiring keeps its pace. Add a buffer when one interviewer takes back-to-back rounds. Write the interviewer's name on every round so candidates know whom to expect. Record feedback the same day, while it is fresh, and use Hold only when the next round is already planned.

Can candidates choose their own interview slot?
Yes. Choose Candidate Self-Scheduling Link when scheduling a round. HR sets the dates, days, hours, slot length and buffer, and the candidate gets a secure link to pick a date and a free slot. The booked time then appears on the candidate's round for HR and the interviewer.
How does ZeniaHR avoid double booking interview slots?
Slots are worked out on the server from the window HR set, and a slot is marked booked as soon as a candidate confirms it. If two candidates try the same slot at the same moment, the second is told it is gone and shown the slots still free.
Can I schedule more than one interview round?
Yes. Each candidate can have several rounds, such as a technical round followed by an HR and Culture round. After each round HR records the notes and a decision, and Hold keeps the candidate in Interview until the next round is done.
