Recruitment for coaching institutes

A coaching institute sells its faculty. Students and parents choose a branch because of who teaches physics or chemistry there, so a weak hire shows up in batch feedback within weeks. Hiring peaks from March to May, before the new session, with urgent replacements when faculty leave mid-session. Good coaching recruitment tests subject depth with a problem-solving test, sees real teaching in a demo lecture, and hires counsellors on their ability to talk to parents.

When and where coaching institutes hire

Plan faculty hiring from January, when you know which batches the new session will add and which faculty may move. Most offers go out between March and May, so new faculty can prepare before batches start. Sources are faculty referrals, former students now studying at IITs, NITs or medical colleges, school teachers who want to move into test preparation, job portals and experienced faculty from other institutes. Counsellors and telecallers are hired just before admission season.

Testing subject depth

For JEE and NEET faculty, a written test of 60 to 90 minutes with problems at the level of the target exam separates strong candidates quickly. A physics candidate who cannot cleanly solve the harder problems from a recent paper will struggle in doubt sessions. For UPSC, CA or banking faculty, use a short written answer or a case from their subject. Mark the test before the demo, so the academic head spends time only on candidates who have the depth.

Demo lectures with real students

The demo lecture is the deciding step. Ask the candidate to teach a 30 to 40 minute topic to a real batch, or to a panel with the academic head and a senior faculty member of the same subject. Watch how they explain a concept, handle questions, use the board and manage time. Short student feedback after the demo is useful, especially for faculty who will teach school students in evening batches. Then settle the agreement: lecture load, pay model, notice period and confidentiality of study material.

Hiring counsellors and front office staff

Counsellors meet anxious parents and students, so role plays work better than interviews alone. Ask the candidate to handle a parent who wants to know why the fee is higher than a rival's, or a student unsure whether to join a dropper batch. Test product knowledge after training, not at the interview. Front desk staff need clear communication, basic computer skills and the stamina for long shifts in admission season.

How to set it up in ZeniaHR

  1. Create requisitions in the Recruitment Hub by subject and target exam, such as NEET biology for evening batches, and separate ones for counsellors before admission season.
  2. Publish openings on the public careers page, where faculty apply through the multi-step form with their teaching experience.
  3. Use the resume match score breakdown by skills, experience, role fit and education to decide who sits the subject test first.
  4. Track each candidate on the pipeline board from New to Screening, Interview, Offer and Joined, with test marks and demo feedback in screening notes.
  5. Offer demo lecture slots timed to a live batch, and let candidates pick the one that suits them.
  6. Send the offer through the online accept or decline page, move the candidate into onboarding, and watch recruitment analytics weekly from March to May.

Frequently asked questions

How do coaching institutes select faculty?

Usually in three steps: a written test with problems at the level of the target exam, a demo lecture of 30 to 40 minutes to a real batch or a panel, and a discussion of the agreement covering lecture load, pay model and notice period. Student feedback after the demo helps, especially for faculty who will teach school-going batches.

When do coaching institutes hire faculty?

Mostly between March and May, before new session batches start, with planning from January. Mid-session hiring happens when a faculty member leaves, and those roles need a fast process because students notice every week without their regular teacher. Counsellors are hired just before the admission season that follows board results.

What should a demo lecture for coaching faculty cover?

A topic the candidate would actually teach, sized for 30 to 40 minutes, with at least one problem solved on the board and time for student questions. Observers look at clarity of the concept, the problem-solving approach, board work and how the candidate handles a question they did not expect.
