Onboarding for diagnostic labs

A new phlebotomist should not draw blood alone on day one, and a new home collection executive should not enter a patient's home before the lab has verified who they are. Good lab onboarding collects qualification and ID documents before joining, completes police verification for field staff, confirms hepatitis B vaccination, and signs off competence under supervision before any independent work.

Checks before the first shift

Send the ZeniaHR self-onboarding link or QR code, in English, Hindi or Gujarati, the day the offer is accepted. The joiner enters personal, family, bank, education and experience details and uploads documents from the phone, against a checklist you configure per role. Each submission lands with HR, who can approve it, send it back for changes or reject it; approval turns the submission into an employee record.

Supervised competence before independent work

Labs working to NABL expect each person to be trained and assessed before being authorized for a task. For a phlebotomist that might mean 20 supervised draws, correct order of draw and labelling, and a patient identification check, signed by the centre in-charge. For a technician it means supervised runs, QC interpretation and a review of reports before validating alone. Keep the signed competence form and the authorization letter in the employee's documents, where an assessor can find them.

Induction topics for lab staff

Deliver the classroom part in half a day, then move the new joiner to a busy centre with an experienced phlebotomist. Practising the order of draw on a real morning queue teaches more than a slide deck, as long as a senior checks every tube before it leaves the centre.

Appointment letter and probation

Every employee must receive an appointment letter under the OSH Code. For lab roles, include the centre or section, shift pattern, Sunday working, notice period and probation. Seasonal staff hired for the monsoon can be taken on fixed-term contracts, and a fixed-term worker holds full employee status. Set probation months by employment type, and have the supervisor rate each probationer from 1 to 5 with a comment before HR confirms or extends.

What documents does a phlebotomist need to join a lab?

Usually a DMLT, B.Sc MLT or phlebotomy certificate, ID and address proof, PAN, bank details, photographs and a hepatitis B vaccination record. Home collection phlebotomists also give a driving licence and vehicle papers and go through police verification. Experienced candidates add relieving letters from their previous lab.

Is police verification needed for home collection staff?

Many labs insist on it, because home collection staff enter patients' homes, often when elderly people are alone. It protects patients and the lab's reputation. Start it as soon as the offer is accepted, record the outcome in the employee's documents, and do not send the person on home visits until it is complete.

How long before a new phlebotomist can collect samples alone?

It depends on the lab's competence rules. Many labs require a set number of supervised draws, correct labelling and a patient identification check, signed off by the centre in-charge, which usually takes one to two weeks at a busy centre. The signed form goes into the employee's file.
