Notice that allows a proper handover
The work terms policy holds notice as a probation figure and a post-confirmation figure, with overrides by grade: for instance a fortnight in probation, a month for sales executives and 60 days for showroom managers and stock controllers, who hold keys, safe access and audit duties. Record the resignation in ZeniaHR the day it arrives. From that entry, ZeniaHR knows the last working day and shows the employee as on notice, which is the signal to start planning the handover.
Stock and counter handover
Take the leaver off sole custody during the notice period. Count the counter's trays jointly with the successor and the stock controller, sign the tally, and transfer custody in the stock register. Hand over pending customer orders, repair jobs and gold scheme customer lists, and tell key customers who will look after them now. Collect keys, access cards and the locker key, and change any safe or strongroom combination the person knew. HR's own steps sit in ZeniaHR's 8-item exit checklist, and the signed stock handover is uploaded to the employee's documents.
Paying the undisputed amount on time
The two-working-day deadline for a leaver's wages does not pause for a stock inquiry, so the joint count must happen before the last day. Settle what is not in dispute through an off-cycle payroll: salary for the days worked, incentives on sales already billed, leave encashment, approved overtime, and gratuity for anyone who has completed five years of continuous service. If a shortage is under inquiry, take advice on the disputed amount and read the permitted deductions from wages before touching it, rather than holding back the whole settlement.
Exit reasons and rehiring
Every leaver gets an exit reason from ZeniaHR's list of 20. In jewellery, the pattern often shows competitors hiring experienced executives just before the festive season, or karigars going back home. Keep trusted former staff in the previous employees list: a verified executive who left on good terms is worth more than a stranger in October, when there is no time left to verify anyone properly.
How to set it up in ZeniaHR
- Put notice days by grade in the work terms policy, with longer notice for managers and stock controllers.
- Log resignations on the employee's record as soon as they come in, which fixes the last working day and starts the handover clock.
- Finish the joint stock count and custody transfer before the last day, and upload the signed handover to the employee's documents.
- Tick off the 8-item exit checklist and choose one of the 20 exit reasons for the leaver.
- Pay the undisputed settlement, earned incentives included, in an off-cycle run no later than the second working day after the exit.

How should a jewellery showroom handle a sales executive's resignation?
Record it at once, take the executive off sole tray custody during notice, and plan the handover: a joint count with the successor and the stock controller, transfer of customer orders and scheme accounts, and return of keys and access cards. Finish all of it before the last day, so the full and final can be paid on time.
Can a jeweller hold full and final until stock is cleared?
No. The law gives two working days after an exit, whatever the reason for it, to pay the wages owed, so stock clearance has to be completed during the notice period, not after it. If a shortage is under inquiry, take advice on the disputed amount and check the permitted deductions, but pay the rest on time.
What should a jewellery exit checklist include?
A joint tray count with a signed custody transfer, customer orders and repairs handed over, gold scheme accounts reassigned, keys, locker and access cards returned, safe combinations changed, the reason for leaving logged, and settlement made inside the two-working-day limit.
