Employee documents for retail chains

A retail chain's employee files are spread thin: joiners sign papers at the store, copies travel to head office by courier, and some never arrive. A digital file per employee fixes that. Keep a fixed checklist of documents for store roles, verify each one, add expiry dates where they apply, and let store managers see what they need without seeing salary or bank details.

The document set for store staff

Every store employee needs the same core file: identity proof, address proof, PAN, bank proof, a photo, education certificates, the appointment letter and any relieving letter from a previous employer. Add role-specific papers on top: police verification for cashiers and stock handlers where your policy asks for it, a driving licence for staff who deliver furniture or appliances to homes, and a medical fitness certificate for anyone handling loose food in a grocery or food store. Fixed-term festival staff also need a contract that states the end date.

Who sees what in a store

A store manager needs to know whether a joiner's file is complete, but not what the joiner earns. With Access Control, give store managers a role whose data scope is their own reporting hierarchy or their branch, and mask salary, bank and contact fields. HR at head office keeps full access, and internal auditors can use the ready Auditor role. Files sit in secure storage and download through time-limited links, so a link shared by mistake stops working soon after.

Expiry dates worth tracking

An expired document tends to be found at the worst moment: during a mall audit, after a road accident on a delivery run, or when a customer complains. Add the expiry date when HR verifies each document, and review what is expiring every month with the store managers concerned. The ready reports include document reports alongside attendance and payroll, and they export to CSV for the monthly review.

Letters a store employee needs

Retail careers move between stores, so letters matter: an appointment letter on joining, a confirmation letter after probation, a transfer letter when someone moves to another store or city, a promotion letter when an associate becomes an assistant manager, and an experience letter on exit. Keep templates in the HR letter library by category and save each issued letter to the employee's documents. When HR confirms probation in ZeniaHR, the confirmation letter is saved to the employee's documents for you.

Frequently asked questions

What documents should a retail company keep for each employee?

Keep identity and address proof, PAN, bank proof, a photo, education certificates, the appointment letter and any previous employer's relieving letter for everyone. Add police verification for cash and stock roles if your policy requires it, a driving licence for delivery staff and a medical fitness certificate for food handling roles, with expiry dates recorded.

Should store managers have access to employee files?

They should see enough to manage the store, such as whether a file is complete and when a document expires, but not salaries or bank accounts. Give store managers a role scoped to their own team or branch, with salary, bank and contact fields masked. HR at head office keeps full access to every file.

How do retail chains track expiring employee documents?

Record an expiry date on every document that has one when HR verifies it, then review expiring documents monthly. In ZeniaHR, documents carry expiry dates and document reports export to CSV, so HR can send each store manager a list of licences, medical certificates and contracts that need renewing in the next month.
