Hybrid work policy template
Copy the text below and replace everything in square brackets with your company details.
1. Purpose
This policy sets out how employees of [Company Name] combine office and home work in a hybrid pattern. It aims to keep teams connected in person for the work that needs it, while allowing focused work from home on other days.
2. Scope and eligibility
This policy covers roles that can be done partly from home, as decided by the department head. Roles that need daily presence stay fully in the office and follow the attendance policy. New joiners may be asked to attend the office full-time through probation so they learn the work and the team.
3. The office and home split
- Eligible employees work from the office at least [Number] days a week and may work the rest from home.
- [Anchor Days, for example Tuesday and Thursday] are fixed office days for the whole team.
- The split is planned a week ahead so the team knows who is in on each day.
- Client visits, audits and reviews take priority over a planned home day.
4. Roster and desks
Each team publishes a weekly roster of who is in the office on which days, so seating and meetings can be planned. Where desks are shared, employees book a seat for their office days. Managers keep enough of the team in on any day to cover walk-in work and cover for colleagues on leave.
5. Attendance in both modes
Attendance is marked the same on every working day. On office days the employee punches by biometric or the usual office method. On home days the employee punches through the app or web and stays reachable during working hours. The paid day is the same whether it is worked from the office or from home.
6. Data security and equipment
- Follow the same data-security rules on home days as under the work from home policy.
- Carry only the data you need and never leave a company laptop unattended in a public place.
- Use the company network or a secure home network, not open public wi-fi, for company work.
7. Responsibilities
- Employees: attend on their office and anchor days, keep the roster updated and deliver on both modes.
- Managers: set anchor days, balance the roster and judge output rather than location.
- HR and admin: manage seating, keep the eligibility list and settle roster disputes.
8. Exceptions
[HR Head Designation] may allow an employee to attend fewer office days for a stated medical or personal reason, or ask a team to attend more office days during a critical phase. Every exception is time-bound and recorded.
9. Review
HR reviews this policy every [12] months with feedback from managers on how the split is working. The office-day count and anchor days may be changed with notice if collaboration or coverage suffers.

What to include
Fix anchor days
Name one or two days when the whole team is in together for meetings, reviews and mentoring. Without anchor days, people pick different days, the office is never full and the point of coming in is lost.
Count office days clearly
State a minimum number of office days a week or a month, not a vague come in sometimes. A clear count lets managers plan seating and lets employees plan their commute and childcare with certainty.
Publish a weekly roster
Ask each team to publish who is in on which day a week ahead. It makes hot-desking work, keeps enough people in for walk-in work and stops the awkward day when a manager finds the floor empty.
Same attendance both ways
Mark attendance the same on office and home days and pay the same. Treating home days as somehow lesser breeds resentment and pushes people to log office days they do not need.
Protect the new joiners
Keep new joiners in the office through probation. People learn the work, the systems and the unwritten rules by sitting near colleagues, which is hard to replace over a video call in the first months.
Common mistakes to avoid
- Letting everyone choose their own days, so the office is never full and anchor meetings never gather the team.
- Announcing hybrid work with no roster, then fighting over desks when too many people come in.
- Treating home days as off days in practice, so real work slips to office days only.
- Keeping new joiners remote from day one, so they never learn the work or meet the team.
- Changing the office-day rule suddenly with no notice, upsetting people who planned commutes around it.
Run it in ZeniaHR
In ZeniaHR, the office and home split is run day by day through the roster and work from home requests. An employee marks a home day with a WFH request within the monthly limit, approved by the manager then HR, and punches from the mobile app on that day. Office days are punched by biometric or web, and web punches can be limited to office networks. The manager team board shows who is working, at home or on leave each day, and the paid day is the same in both modes when it feeds Direct Payroll.

What is a hybrid work policy?
A hybrid work policy is a written rule for splitting the working week between the office and home. It sets how many office days are required, which anchor days the whole team attends, how the split is rostered and how attendance is marked in both modes. It keeps in-person collaboration alive while giving employees regular, planned flexibility to work remotely.
How many days should employees work from office in a hybrid model?
There is no legal number. Many Indian companies ask for two or three office days a week, including shared anchor days. The right figure depends on how much of the work needs people together. Pick a number, name the anchor days, write it down and apply it evenly, then adjust with notice if coverage or teamwork suffers.
What is the difference between hybrid and work from home?
Work from home means an employee works remotely for the granted days, with no fixed office pattern beyond that. Hybrid means a planned mix: a set number of office days each week, often with anchor days when the whole team gathers. Hybrid keeps regular in-person contact, while full work from home does not require it at all.
