Employee mobile app

The ZeniaHR employee app puts self-service on the phone for staff who never sit at a desk. It covers punching in and out with location or at a QR kiosk, the roster, leave with the same live preview as the web, corrections, work from home and on duty, holidays, comp-off, overtime, payslips and documents, shift swaps, and the company wall. Managers get their team's live view and approvals in the same app, and every request follows the same rules as on the web.

What employees can do in the app

The app covers the same ground as My Self-Service on the web. Employees punch in and out, with the phone's location when the company asks for it, or at a QR kiosk by scanning or typing its code. They see their roster, apply for and cancel leave with a preview of the days charged, raise attendance corrections and work from home or on duty requests, pick optional holidays, see comp-off credits and overtime, download payslip PDFs, check their documents and request shift swaps. The company wall, celebrations and praise are there too.

Extras that only make sense on a phone

A few things exist only in the app. When someone punches out before the shift ends, the app asks for a reason and, if the day is short, raises an early exit request for the manager. Punches can be limited to each person's approved phone. Employees can view their nominees and add the first one, with later changes going through HR. And an employee who spots a mistake in a profile field they cannot edit, such as the spelling of their name, can ask HR to correct it; the request goes to HR for approval.

The same rules as the web

Everything done in the app follows the same rules and approvals as the web. Leave applied on the phone is checked against the same leave rules, a correction counts against the same monthly limit, and each request goes to the same reporting manager and then HR. Punches from the phone land in the same record as web, kiosk and biometric punches, so attendance and payroll never need to know which channel a punch came from.

Can managers approve leave from the mobile app?

Yes. Managers get the team live view and approvals for leave, attendance corrections and shift swaps, plus overtime decisions, the team roster, probation reviews and the team leave calendar. Decisions made in the app follow the same chain as the web: reporting manager first, then HR.

Does the app track employees' location?

No. The app reads the phone's location only at the moment of a punch, and only when the company's capture controls ask for it. Nothing is read between punches, and there is no map of where staff are or where they went. The location is stored with the punch, much as a machine records which gate was used.

Can punching be limited to the employee's own phone?

Yes. With phone binding on, the first phone a person punches from is approved automatically, and any other phone waits for HR to approve it. This stops one person punching for another from a different phone. HR can revoke a phone at any time, for example when it is lost.
