Key responsibilities

  • Complete joining formalities, verify certificates and open a service record or personnel file for every new employee.

  • Prepare confirmation, increment, transfer and posting orders from approvals, and update records on the effective date.
  • Nominate employees for mandatory and development trainings as per the training calendar, and record completions.
  • Administer staff welfare schemes such as medical reimbursement, group insurance, festival advances and staff loans under policy.
  • Draft HR correspondence, including office orders, circulars, replies to employee representations and letters to authorities.
  • Support disciplinary proceedings under the service rules with notices, records and hearing arrangements.
  • Answer employee queries on service rules, leave, pay fixation and benefits, and escalate unclear cases.
  • Keep PF, ESI, gratuity and nomination records current, and help settle claims of retiring or departing employees.
  • Prepare HR returns and MIS for management, auditors and, where applicable, regulators or funding agencies.

Requirements

  • Graduate in any discipline; an MBA, PGDM or MSW in HR is preferred
  • Knowledge of service rules, leave rules and PF and gratuity procedures
  • 2 to 6 years in HR administration, preferably in a bank, hospital, educational institution or NGO
