Onboarding for automobile dealerships

A new dealership employee often drives a customer's car or a demo vehicle within the first week, so onboarding starts with the driving licence and verification. Good onboarding collects licences, ITI certificates and identity documents before joining, completes verification for drivers and anyone handling cash or keys, gets the person registered on the manufacturer's systems, runs a safety induction for the workshop, and pairs each new consultant or technician with a senior for the first month.

Documents before the first drive

Use the self-onboarding link, in Hindi or Gujarati where that suits the joiner, to collect identity, address, bank and education details before joining. For anyone who will drive, the licence comes first: check the class and the expiry date, and do not hand over demo car keys until HR has verified it. Technicians upload ITI or diploma certificates, and experienced hires the relieving letter from their previous dealer.

Manufacturer registration and IDs

Sales consultants and technicians are usually registered on the manufacturer's dealer and training portals, which gives them access to training, the dealer management system and incentive schemes. That registration happens outside the HR system, but HR should track that it is done in the first week, along with the uniform, ID card and locker. A consultant without a portal ID cannot book a vehicle and loses the first leads to a colleague.

Safety induction for the workshop

Before a new technician touches a vehicle, walk them through lift operation, jack stands, the paint booth, battery handling, fire extinguishers and the first aid box. For electric vehicles, nobody works on high-voltage systems until trained. Record the induction as a training program, so the first day's safety briefing is on file and the manufacturer's audit can see it without anyone hunting for a signed register.

The first month and probation

Pair each new consultant with a senior for the first two weeks: welcoming walk-ins, test drives, quotations and follow-up calls. Pair each technician with a senior at the same bay. Probation of three to six months ends with a rating from the team leader and a decision by HR. Hand over the appointment letter on the first day with the probation terms in it; the OSH Code makes one compulsory for every employee.

Frequently asked questions

What documents should a new car dealership employee provide?

Aadhaar, PAN, bank details, education certificates, a driving licence for anyone who will drive, ITI or diploma certificates for technicians, and the relieving letter from the previous employer. Drivers and staff who handle cash or keys also need police verification before they start work.

Why is a safety induction needed for workshop staff?

Workshops have lifts, jacks, paint booths, batteries and flammable materials, and electric vehicles add high-voltage systems. A safety induction on the first day, recorded as training, protects the new technician and shows the manufacturer's audit that safety training is in place from day one.

How long is probation in a dealership?

Three to six months is common for sales consultants, advisors and technicians. The team leader or works manager reviews attendance, skill, customer handling and early results, and HR then confirms the person, extends probation with a reason, or ends it.
