Onboarding for pharmacy chains

A new pharmacist or assistant in a chain store has to learn the company's way of dispensing, billing and handling cash within days, often without an HR person nearby. Good onboarding collects registration and ID documents before joining, trains on store SOPs with a buddy in a running store, issues the appointment letter on day one, and sets a probation review that the store or area manager completes on time.

Documents before joining

Print the ZeniaHR self-onboarding QR code for walk-in days, or send the link by phone; the form runs in English, Hindi or Gujarati. The joiner fills in personal, address, family, bank, education and experience details and uploads the documents your checklist asks for. HR then approves, asks for changes or rejects, and an approved joiner becomes an employee record without anyone retyping it.

Training in a running store

Classroom induction for pharmacy staff can be half a day. The rest happens at a training store with a buddy: the billing system, dispensing checks, Schedule H and H1 register entries, the fridge log for insulin and vaccines, returns and near-expiry handling, cash counts and service at the counter. A new pharmacist should spend a few shifts at a training store before being posted alone, and a new assistant should shadow a senior through at least one opening and one closing.

Appointment letter and probation

The OSH Code requires an appointment letter for every employee. For store roles, include the store or cluster, shift pattern, weekly off rule, a clause on transfers between stores, notice period and probation. Probation of three to six months is common. In ZeniaHR, anyone nearing the end of probation appears in the Probation & Confirmation queue, daily reminders go to HR and the store manager, and the manager rates the probationer from 1 to 5 with a comment. HR then confirms, which files a confirmation letter in the employee's documents, or extends with a reason.

First-month mistakes to avoid

Most of these come from the rush of a store launch, when ten people join in the same fortnight. A simple first-month checklist for each store, signed by the store manager and filed by HR, catches them before they turn into disputes or inspection findings.

How to set it up in ZeniaHR

  1. Set the onboarding document checklist per role, with pharmacy registration for pharmacists and a driving licence for riders.
  2. Print the self-onboarding QR code for walk-in hiring days and send the link to every accepted candidate.
  3. Verify each document with its expiry date and approve joiners so their employee records are created.
  4. Assign department, designation, location and reporting manager so each new hire appears in the store manager's My Team.
  5. Set probation months by employment type and require the manager's review before confirmation.
  6. Enrol joiners in induction and store SOP programs in Learning.

Frequently asked questions

What documents does a pharmacist need to join a pharmacy chain?

The pharmacy council registration certificate and renewal proof, D.Pharm or B.Pharm certificates and marksheets, Aadhaar, PAN, bank proof, photographs and a relieving letter if experienced. Chains verify the registration against the council's records before the pharmacist is posted to a store.

How long is induction for pharmacy store staff?

Usually half a day of classroom induction followed by a few shifts at a training store with a buddy. Pharmacists learn dispensing checks, registers and cold chain; assistants learn billing, shelving and returns. A new pharmacist should not be posted alone until the training store signs off.

What is the probation period for pharmacy assistants?

It is set in the appointment letter, commonly three to six months. During probation the store manager reviews billing accuracy, attendance, customer handling and cash discipline, and rates the assistant before HR decides whether to confirm, extend or record a non-confirmation.
