A shift allowance policy sets the extra pay for working evening, night or split shifts, which disturb sleep, family time and social life more than a regular day job. It defines which shifts qualify, the amount per shift or per month, which days are paid and how the allowance sits alongside overtime. Safety and welfare for night work belong in the night shift policy; this one covers only the money.

When to use it: Use it when you start evening or night operations, when allowances differ between plants or teams doing the same work, or when payroll struggles to count qualifying shifts. HR drafts it with operations and finance, and the finance head approves the rates.

1. Purpose

This policy sets out the allowance [Company Name] pays to employees who work evening, night or split shifts, and how it is calculated and paid.

2. Scope

It applies to employees rostered on qualifying shifts under the Shift work policy. Employees on the general shift, and anyone staying late by choice or on overtime, are not covered.

3. Qualifying shifts

  • Evening shift: a shift with at least [4] hours between [6:00 pm] and [10:00 pm], currently the [2:00 pm to 10:00 pm] shift.
  • Night shift: a shift with at least [3] hours between [10:00 pm] and [6:00 am], currently the [10:00 pm to 6:00 am] shift.
  • Split shift: a shift with a gap of more than [2] hours between two working periods.

4. Rates

  • Evening shift: [₹Amount] for each shift worked.
  • Night shift: [₹Amount] for each shift worked.
  • Split shift: [₹Amount] for each shift worked.
  • Employees permanently on nights at their own request may receive a fixed monthly night allowance of [₹Amount] instead of the per-shift rate.
  • Example: an operator who works 12 night shifts and 8 evening shifts in a month, at ₹200 and ₹100 per shift, receives 12 x ₹200 + 8 x ₹100 = ₹3,200.

5. Days that count

  • The allowance is paid only for qualifying shifts actually worked, as shown by the roster and attendance punches.
  • Leave, weekly offs, holidays and absence earn no allowance, even in a week rostered on qualifying shifts.
  • A half day worked on a qualifying shift earns [half] the allowance.
  • After an approved swap, the allowance follows the shift actually worked, not the one originally rostered.

6. Relationship with other pay

  • The allowance is separate from overtime, and overtime on a qualifying shift is paid under the Overtime policy in addition.
  • Meals, transport and other night-work facilities under the Night shift policy are not set off against the allowance.
  • The allowance is part of total remuneration when checking that basic pay plus DA is at least half of it under the Code on Wages.

7. Payment

  • Qualifying shifts are counted from the attendance month closed for payroll, and the allowance is paid with that month's salary.
  • The allowance appears as a separate earning on the payslip.
  • Errors reported within [30] days are corrected in the next payroll.

8. Responsibilities

  • Supervisors: keep the roster accurate and record swaps and changes on time.
  • HR and payroll: count qualifying shifts from attendance and pay the allowance correctly.
  • Employees: check the shift count on their payslip and report errors promptly.

9. Review

Finance and HR review the rates every [12] months, and whenever shift timings change or a new shift is introduced.

What to include

Which shifts qualify

Define qualifying shifts by hours worked within set time bands rather than by shift names. Names change with rosters, while hours inside a band are easy to check against punches.

Per shift or per month

Pay per shift for rotating teams and keep a fixed monthly amount for permanent night staff only. Per-shift pay follows actual work and avoids paying for weeks spent on day shifts.

Days that do not count

State that leave, weekly offs, holidays and absence earn no allowance. It is a question payroll hears every month in shift-based businesses.

Separate from overtime

Say that the allowance and overtime are paid independently. A shift allowance compensates for unsocial hours, not for extra hours.

Effect on the wage base

The allowance is part of total remuneration. If allowances grow large, basic pay plus DA may fall below half, and the excess is added back to wages under the wage definition rule.

What is a shift allowance?
