Attendance: punches and the daily register
How punches reach HRMS Core, how to follow them live, record a missed punch, read each employee's day log, keep the daily register and close the month for payroll.
Before you start
- You need the Company Head or HR role.
Steps
Follow today on the live board
In the sidebar, under Time & Attendance, click Attendance Punches. Live now counts who is Working, On break or Out, how many have Punched today out of those Expected, and who is Not in yet, Late, On leave or Off. The table lists everyone who punched, with their first in, breaks and hours worked so far. Below it you see who is not in yet, the late arrivals and anyone who forgot to punch out yesterday. Use the department filter to narrow the board, and Refresh to update it.
Full sizeStep 1 Record a missed punch
Under the board, pick the Employee and check the Date, then click Punch in or Punch out. The employee's punches for that day appear below with the first in, last out, hours and status. To remove a wrong punch, click the void icon at the end of its row.
Full sizeStep 2 Read an employee's day log
In Day log, pick the employee and a From and To date, then click Load, or click This month or Last month. The totals show present, half days, absences, leave, weekly offs, holidays, late marks and effective hours. Each row is one day with its punches, breaks, effective hours and status. Click Download CSV to keep a copy.
Full sizeStep 3 Close the month for payroll
At the end of the month, go to Penalties and month close, choose the month and click Recompute to apply your attendance rules (late marks and early outs). Waive any penalty that should not count, then click Finalize month: payroll then reads these days for that month. If you reopen a finalized month, payroll goes back to the older attendance records until you finalize it again.
Full sizeStep 4 Keep the daily register
In the sidebar, click Attendance, then the Attendance Entry tab. The Daily view lists every employee for the chosen date with Clock In, Clock Out and Status; switch to Weekly, Monthly, Yearly or Custom for longer periods. Use Quick Mark to set someone's day to Present, Absent, Half Day, Weekly Off, Holiday, Leave, Work From Home or On Duty. To mark several people at once, tick their boxes and click Bulk Present or Bulk Holiday. Mark Holiday declares the date a company holiday for everyone who has no entry yet.

How punches arrive
- Mobile app: employees tap Punch in the ZeniaHR app to start and end their day.
- Kiosk: a tablet at the entrance shows the Kiosk Punch page with a QR code; people scan it with the app or type the short code under it. Turn kiosk punching on in Settings, Policies, Capture controls.
- Biometric machines and Excel sheets: machines connected under Attendance, API Integration, and attendance sheets uploaded under Attendance, Excel Import, show up as punches too.
- HR on the web: you can record a punch for anyone on the Attendance Punches page.
Every punch is kept as it came in. ZeniaHR builds each day from them: first in, last out, breaks and hours worked.
Questions
An employee forgot to punch out. What do I do?
They appear under Missing punch-out yesterday on the live board. Record the punch out for that date on Attendance Punches, or ask the employee to send a correction request, which you approve on Attendance Regularization.
Which day is the weekly off?
The weekly off comes from the employee's roster in Shifts & Roster. When no roster is set, Sunday is the weekly off.
Why does someone show as late, or not show as late?
Lateness counts from the start of the employee's shift plus its grace time. Employees without a shift show a dash under Shift start and are not marked late; give them a shift in Shifts & Roster.
Does payroll use the punches or the register?
Until a month is finalized on Attendance Punches, payroll uses the attendance records in the register. When you click Finalize month, payroll reads the days built from the punches for that month.
